Write good search phrases

How a product's phrases find tenders, how the AI widens them, and how to choose phrases that bring in the right work and keep out the wrong work.

A product's phrases are the words a matching tender would contain. ScoutTide matches them word for word in tender titles and descriptions, and any one phrase is enough. The AI also reads About this product and your organisation profile, so the phrases are one half of matching, not all of it.

Where to write them

  1. Open the menu under your initials and choose Organisation, then Products in the settings rail.
  2. Open the menu on a product tile and choose Edit, or press + Add a product.
  3. Type your phrases in Phrases, one per line.
  4. Press Save & rescan.

Watch the live count

As you type, the count below the form updates: how many open tenders match right now, how many nobody has picked up, and how many close within a week. Use it to test a phrase before you save.

  • A count of zero usually means the phrase is too narrow, or buyers use other words.
  • A very large count usually means the phrase is too broad. Make it more specific, or narrow where you sell under Where do you sell?.

Tips for good phrases

  • Write one idea per line. Each line is one phrase, and any one is enough to match.
  • Use the words a buyer writes in a tender, not your marketing words. For example: document management, records management, electronic archive.
  • Add synonyms and brand names. If you implement a named platform, add its name.
  • Add phrases in the languages of the markets you serve. A tender in German will not contain your English words.
  • Keep each phrase specific enough to mean your work. A single common word matches far more than you want.
  • Aim for at least three phrases. ScoutTide flags products with fewer than three keywords under The AI needs more to work with.

Tell the AI what you do not offer in About this product. That keeps out tenders that share your words but ask for something else.

What the AI adds

Open a product to see What this product scans for. It shows the rule in plain words:

  • Title or description contains lists your own phrases.
  • The AI also searches for lists extra terms the AI added to widen your phrases, for example in other languages. Press Show the list to see every term.
  • Tender categories shows the categories you ticked, if any.
  • AND the buyer is in or AND the country is shows where you sell, if you set it.

The AI also reads tenders filed in your ticked categories that are close to the product, even without one of its phrases, and decides on what they ask for.

When nothing matches

If a product page says Nothing matches yet or No open tender contains these phrases word for word, add more phrases, or other words buyers use for what you sell. The AI may still have matched tenders by what they are about. If so, the page says how many, and they are in your queue.

If the page says The AI set aside every tender these phrases find, the AI read each one and judged it not a fit. Press See what the AI set aside to check its reasons.

Phrases only search what ScoutTide collects

Your phrases search the tenders ScoutTide has already collected. ScoutTide collects tenders in a fixed set of areas of work, the same for every customer. Open What gets downloaded in the first place on your Organisation page to see the list. A tender outside it is never collected, so no phrase can find it.

If two products have the same keywords, ScoutTide warns you when you save: they will match exactly the same tenders.
