Troubleshooting

No matches yet

Why your tender queue is empty or thin after setup, and what to check: your products, search phrases, countries and what the AI set aside.

Your queue fills from your products. If it is empty, or thinner than you expected, work through the checks below in order.

1. Check that you have saved a product

ScoutTide finds nothing until your organisation has at least one product saved. Until then there is nothing to look for.

  • If you manage your organisation, open Organisation, then Products, and add one. See Add a product.
  • If you are a team member, your organisation admin adds products. Tenders, social leads and search open once they do.

2. Give it a few minutes

When you save a product, ScoutTide rescans the open tenders for it straight away. The AI then reads the tenders closest to it. The first matches appear in your tender list within a few minutes.

Matching runs in cycles, so a new organisation fills up over several passes rather than all at once. Come back a little later, and expect more by the next morning.

Each product on the Products page shows how many tenders and social leads it has found. The counts fill in when the rescan finishes.

3. Check your search phrases

Search phrases decide which tenders the AI is asked to read. If none of your phrases appear in a tender, that tender is never considered.

  1. Open Organisation, then Products, and open the product.
  2. Look at Phrases, one per line. Write the words a buyer would use in a tender, not your marketing words. For example, "records management" rather than your product's brand name.
  3. Add a few more ways of saying the same thing.
  4. Watch the count under the form. It shows how many open tenders match right now. If it says very few, your phrases are too narrow.
  5. Choose Save & rescan.

See Search phrases.

4. Check where you sell

If you chose only a few countries under Where do you sell?, tenders from anywhere else are left out. Widen the area if you can deliver further, then choose Save & rescan. See Countries and regions.

5. Check that the product is not retired

A retired product is paused and finds nothing. If you retired it, choose Restore in the product's menu. See Retire, restore and delete.

6. Look at what the AI set aside

The AI reads each candidate tender and keeps only good fits. Everything it set aside is listed with the reason it gave.

  1. Open Set aside, or choose AI filtered in the filters on the left of your tender list.
  2. Read the reasons. If the AI keeps rejecting good tenders, your product description may be too narrow or unclear.
  3. Choose Put back on any tender that fits. It returns to your queue.

See Set aside and put back and How matching works.

Search everything while you wait

Your queue shows only tenders matched to your products. To see everything open, switch the search bar from My products to Tender universe. It searches every open tender ScoutTide holds, about 250,000 of them, across titles, buyers and the full notice text. Choose Save search to keep a search you want to come back to. See Tender universe and saved searches.

Still nothing?
