Working your leads
Set a stage and add notes
Move a claimed tender or social lead through stages, record what you learn in notes, and follow its history on the timeline.
Once you have claimed a tender or a social lead, you can record where it stands and what you have found out. The stage, the notes and the timeline sit together on the item's own page.
You need to claim an item before you can set its stage or add notes. Until then, the page says "Claim it first to set its stage." See Claim a lead and use My pipeline.
Set the stage
- Open the tender or post from My pipeline.
- Find Stage in the side panel.
- Choose a stage from the list.
There is no save button. The stage "Saves as soon as you change it."
The stages for a tender are:
- New: you have claimed it but not looked into it yet.
- Watching: you are following it and deciding.
- Bidding: you are preparing a bid.
- Submitted: your bid is in.
- Won: you won the contract.
- Lost: someone else won.
- Dropped: you decided not to go ahead.
Social leads use the same stages, worded for a conversation: Replying takes the place of Bidding, and Replied takes the place of Submitted.
How stages shape your pipeline
My pipeline lists your work soonest closing first. Once you mark anything Won, Lost or Dropped, the page splits into an Active section for work in progress and a Decided section below it. Won and lost tenders also feed your outcomes and win rate. See Outcomes and renewals.
Add a note
Notes hold what you learn: a call with the buyer, a question for a partner, a pricing check.
- Open the tender or post.
- Go to Notes.
- Type in the box that asks "What did you find out?"
- Select Add note.
The note appears on the page straight away. In a team, everyone in your organisation can read the notes on a tender, so they work as a shared record.
Read the timeline
The Timeline lists everything that has happened to the item, newest first. For example:
- opened this at the publisher
- claimed this
- changed the stage, with the stage it was before
- added a note
- added a document
- put this back in the queue
- released this
Long histories show the latest events first. Select the link to show earlier events when you need them.
Find your work again
My activity collects every tender and post you added a note or document to, claimed, kept, set aside or opened, most recent first. Only you see this page.
- Open My activity from the menu.
- Pick what to show: All, Notes, Documents, Claims and stages, Kept, Set aside or Recently viewed.
- Narrow it to Tenders and social leads, Tenders or Social leads.
- Choose a time range: Last 7 days, Last 30 days or Any time.
Who can change what
In a team, only the person who claimed an item, or a manager, can change its stage or add notes. Others see the stage control greyed out, with the name of the person who holds the claim.
