Team
Invite your team
Invite colleagues to your ScoutTide organisation, choose their role, manage seats and let people on your email domain join automatically.
On the Team plan, colleagues work in the same organisation as you. They see the same tenders and social leads, and they can claim and work them. Inviting people is part of the Team plan. On the Individual plan there is no member list to manage.
Only a manager can invite people and change who is in the team.
Send an invitation
- Open the menu under your initials in the header and choose Organisation.
- Choose Members in the settings menu. The page is called Members & invitations.
- Under Invite someone, type your colleague's email address.
- Pick a role: Member: claims and works tenders or Manager: also settings, members and reassignment.
- Select Send invitation.
The invitation is emailed to the address you entered. It works once and expires after a set number of days, which the page tells you. Until it is accepted, it waits in the Invitations list as pending.
A pending invitation reserves a seat. If every seat is taken, revoke an invitation nobody needs or deactivate a member to free one.
Roles
- Member: claims and works tenders and social leads.
- Manager: does everything a member does, and also manages organisation settings, products, members, reassignment and billing.
Every organisation needs at least one manager. You cannot demote or deactivate the only manager. Make someone else a manager first.
How your colleague joins
Your colleague opens the link in the invitation email. There is no plan to choose: they join your organisation, and its plan covers them.
- They sign up with the address you invited, or with Google using the account for that address.
- The invitation page shows your organisation's name and the role you chose.
- They select Join.
If they already have a ScoutTide account, the invitation waits on their home page after they sign in. It shows who invited them, with Join and Dismiss. Accepting moves their account into your workspace.
Your colleague's email address must be verified before they can accept an invitation.
Let colleagues join without an invitation
You can let anyone with a verified address on your company's email domain join automatically, as a member.
- Open Organisation from the menu under your initials.
- Find Auto-join domains, comma separated.
- Type your company domain, for example acme.com, and save.
Public email providers such as gmail.com and outlook.com are refused. You can only add a domain that a manager of your organisation signs in with. If ScoutTide asks, confirm your own address first with the link it sends, then save again.
Manage people
The People list on the Members page shows each person's name, email, role, open claims and status. From each row you can:
- Make manager or Make member to change their role.
- Deactivate to sign them out and stop them signing in. Their seat is freed.
- Reactivate to let a deactivated person sign in again.
- Move their claims to hand a deactivated person's open claims to an active colleague.
When you deactivate someone, their open claims stay with them until you move them. Nothing is reshuffled without you.
Manage invitations
Pending invitations are listed under Invitations, with the date sent. Select Revoke to cancel one: the link stops working. Older invitations that were accepted, revoked or expired are kept under History. To renew an expired invitation, invite the same address again.
